Job Description – Field Assistant III – Seattle Education Association

 

Council Description: The Seattle Education Association (SEA) is a diverse 6,000-member local/council comprised of certificated, paraprofessional, and office professionals – including substitutes – who work for Seattle Public Schools.  SEA is a member-driven and member-led organization that works with a high degree of collaboration and teamwork between SEA staff and leaders.

The Mission of the SEA Center for Racial Equity is to empower educators, both individually and collectively, to dismantle racial injustice in the SEA, our schools, our community, and our profession.

Supervision:  The successful applicant will function as a member of the Seattle Education Association staff and the Advocacy Center of the Washington Education Association.  The Field Assistant III shall report to the Executive Director of the Seattle Education Association.

Location:  The position is assigned to work out of the Seattle UniServ Council office located at 5501 4th Avenue South, Suite #101, Seattle, WA, 98108.

Purpose: The Field Assistant III maintains SEA data systems and ensures the complete and systematic processing of critical SEA membership records; provides timely information that promotes the critical work of the organization. The position provides administrative support for member organizing and advocacy by assisting governance, building representatives, members, and staff through problem-solving, researching questions, and providing information, reports and material support as needed. The Field Assistant III provides administrative and clerical support for Association and member grievances, bargaining with the school district, and other support as needed.

Job Summary:  A successful candidate will be heavily embedded in the work of the team and collaborate with team members to identify measures to track progress toward team goals and organizational priorities.  The candidate will use knowledge of the team's goals and concerns to perform exploratory analyses and diagnose areas of strength or vulnerability to guide or redirect team efforts. 


Essential job functions

  • Troubleshoot and navigate antiquated systems on the district side and translate data to effectively update internal SEA / WEA systems. 
  • Comfortable learning and navigating web-based data entry platforms.
  • Connect data action impacts throughout systems.   
  • Work with the Seattle School District, council staff, and council leadership to maintain accurate and timely bargaining unit lists (both dues-paying members and non-paying potential members).
  • Collect, record, and maintain information pertaining to membership dues, dues status, and demographic data; provide reports when necessary.
  • Communicates with district payroll officers, WEA Membership Department, and others as needed.
  • Prepares monthly billing of membership for District payroll and processes the dues.
  • Demonstrated history of success working with communities of color or with other historically under-represented groups; the ability to understand the relevance and importance of diversity, equity, and inclusion internally and in public education.
  • Maintain office files and computer databases.
  • Produce various correspondence and communications pieces.
  • Receive and assist visitors, direct and answer telephone calls and in-person requests.
  • Assist the SEA Executive Director, Council President and Vice President by providing administrative support as needed.

Preferred job requirements

  • Experience in public education, unions, or related employment.
  • Experience using composite keys to compare lists that do not have a PK/FK relationship.
  • Experience with community organizing work in Black, Indigenous, and People of Color communities.

Minimum job requirements

  • High school graduate or GED equivalent
  • Minimum of two (2) years administrative or equivalent experience
  • Familiarity with both structured and unstructured data sources
  • Foundational knowledge of relational databases (particularly with many-to-many relationships)
  • 10 key by touch; ability to type a minimum of 50 wpm.
  • Experience working with membership systems and/or contact management software.
  • Demonstrated proficiency in the use of Microsoft Office Professional with emphasis on Word, Excel, Access, and Outlook
  • Thorough knowledge of office practices, procedures, and equipment
  • Thorough knowledge of spelling, grammar, punctuation, and the ability to compose and edit/proof documents.
  • Experience maintaining a large database and ability to enter data quickly with a high degree of accuracy.
  • Strong interpersonal skills, including experience in dealing with members/customers. Must support and maintain relations with outside agencies and organizations for the purposes of ongoing communications.
  • Ability to work well with others and, under pressure, demonstrate poise, tact, and diplomacy.
  • Ability to understand the relevance and importance of diversity and inclusion both internally and externally, and the impact that a diverse workforce has on creativity and innovation.
  • Self-starter; demonstrate initiative regarding assignments and be flexible with changing priorities; well organized; possess the ability to pay attention to detail and prioritize and coordinate office workloads.
  • Ability to keep client information confidential.
  • Must support and help advance the SEA/WEA mission, goals, and core values.

Salary range and benefits
 

Salary:

Level III (C) $64,092 – $91,420 / year
